Position Summary:

The Bursar’s Office is seeking an experienced Accounting Assistant II to help provide student account and billing information; receive payments for tuition, fees and miscellaneous campus charges; provide collection of delinquent accounts; deliver refunds and financial aid residuals after disbursement.


Primary responsibilities include: 

  • Counsel students and parents regarding their account
    • Respond to inquiries (email, phone and in-person) and proactively provide outreach
    • Develop relationships across campus to better connect students and provide options/solutions to balances in order to help student retain and graduate
  • Daily maintenance of student accounts receivable through developed and maintained reports and queries
    • Running daily cash reports and updating student accounts from QuikPAY reports
    • Posting payments and adjustments to accounts
    • Communication regarding authorized payers
    • Monthly past due balance reports
    • Identify, flag and correct errors in database
    • Providing high-level oversight and management of current AR balances for specified population
    • Includes running reports and “courtesy” communications (email, mail and phone) to manage balances
  • Process third party contracts to student accounts
  • Generating electronic monthly bills for student accounts
    • Notifying Collections area of accounts ready for collections processing
    • Daily audit and updating of Bursar hold on delinquent accounts
  •  Administration of Monthly Payment Plan (TMS):
    • Assisting students and parents with completing Monthly Payment Plan Worksheet and Application
    • Coordinating all plan adjustments with outside servicer and corresponding with parent and students on status of accounts
    • Enrolling students in alternative TMS payment plans to maintain balances
    • Managing delinquent payment plan accounts through coordination with TMS and through data retrieval within TMS system
    • Monthly reconciliation of TMS system to the Banner ERP
  • Lead on the Implementation and Administration of the Nelnet QuikPAY Enterprise System
    • Online Billing
    • Real-time notification
    • Payment reconciliation and reporting
    • Payment plan set up and reconciliation
    • Advertising and marketing of Enterprise System to students and families
  • Development, management and coordination of the Parent Portal for AR topics
    • Billing and Payments
    • Payment Plans
    • Tuition calculator
    • Due Dates and Fees
    • Operational Calendar
  • Coordinate with the Communication Coordinator to design, develop and market innovative customer service and training material
    • Social Media
    • Videography

  • Processing weekly refund checks
  • Maintaining third-party contract accounts with reconciliation of balances on a quarterly basis
  • Billing and reconciliation of Florida Pre-Paid
  • Assisting with supervision of work-study students, allocating work dependent upon daily priorities
  • Assisting at the window and with daily close process, as necessary

Minimum Qualifications:


  • High school education plus one year of additional business, technical or college training or equivalent combination of education and experience is required
  • Requires two to three years of job-related experience
  • Strong customer service experience and ability to handle difficult financial conversations
  • Strong communication skills (oral and written) with a focus on service, grammar, and accuracy
  • Must be comfortable managing conflict and make independent decisions within office policies and guidelines
  • Strong technical skills for pulling information, query writing and updating of data within various software systems (Banner, QuikPAY, Florida Pre-paid, Access, Argos, TMS etc.)
  • Flexibility to move between systems to gain information and solve problems.
  • Strong decision-making skills, especially during times of high emotion or conflict
  • Ability to handle high phone and email volume
  • Ability to diffuse conflict and communicate effectively in tense situations
  • Ability to self-manage daily work flow and priorities
  • Knowledge of office methods and procedures and familiarity with the use of standard office equipment, accounting machines and familiarity with mainframe and computer software programs
  • Knowledge of rules and regulations pertaining to financial records
  • Ability to perform work involving written numerical data and to make arithmetic calculations rapidly and accurately
  • Ability to perform duties in a tactful manner while responding to customer inquiries
  • Ability to perform intermittent minor tasks without loss of continuity in major assignments and adhere to the principals to time management
  • Knowledge/ability in the area of interpersonal relationships


Work Environment:

  • Office environment with frequent interruptions.
  • Overtime may be required at times.
