Position Summary:

The Scheduling & Event Services Department at Rollins College is seeking three (3) energetic Summer Event Coordinators. These are summer residential appointments, which require the coordinators to live on campus during the 2018 summer. The coordinators will serve as liaisons between the college and conference groups visiting Rollins. The Summer Event Coordinators report to the Associate Director of Scheduling and Event Services. Candidates must be available to work from May 16th through August 1st.

Primary responsibilities include: 

  • Assisting in the Scheduling & Event Services office to prepare for summer conference group arrivals and performing other general office duties
  • Ensuring residence halls and meeting facilities are prepared prior to group arrivals, submitting work orders and service requests and following up on requests
  • Facilitating check-in and check-out procedures for visiting conference groups, overseeing issuance of keys to the residence halls
  • Troubleshooting logistical concerns, coordinating the distribution of event materials to groups, preparing and maintaining conference paperwork
  • Coordinating ongoing housekeeping needs with Facilities Management and following up on work order requests
  • Acting as liaison for groups for all campus departments (Catering, Class Tech, Facilities Management, and Campus Safety)
  • Coordinating space requests with other departments, arranging residence halls and meeting room facilities to meet the requirements of visiting groups, including moving tables, chairs and ensuring signage is posted prior to group arrivals
  • Assisting with other summer events on campus
  • Creating and distributing the summer conferences newsletter throughout the summer, and immediately communicating any issues with the department of Scheduling and Event Services

Minimum Qualifications:

 

  • High School education plus one year of additional business, technical or college training or equivalent combination of education and experience
  • Excellent customer service skills
  • Strong interpersonal skills and ability to use tact and good judgment in resolving work problems and dealing with the public
  • Strong written, verbal, and interpersonal communication skills
  • Strong time management and organizational skills
  • Ability to be a self-starter and excel in a fast paced environment
  • Experience with making quick decisions and the ability to respond to last minute requests and issues
  • Must live on Campus during the 2018 summer and be on an on call schedule (with pre-approved days off each month)

Level 2 Background Screening Requirement

Once an offer of employment is made, the candidate must pass a Florida Level 2 Background Screening prior to May 1, 2018. The cost of the fingerprinting is the responsibility of the candidate.

Summer Event Coordinators cannot start working until all background screening results are returned and cleared or until they have received an approved exemption.

Preferred Qualifications:

  • Preference will be given to current Rollins students and recent alumni
  • Extensive knowledge of Rollins College is preferred
  • Experience managing events, working with large groups, and/or working an on call schedule is preferred

Compensation:

The Summer Event Coordinators must live on Campus during the 2018 summer and be on an on call schedule (with pre-approved days off each month).

Summer Stipend: $3,500.00 (paid on a bi-weekly basis)

Housing Value: One single room in an on-campus residence hall, valued at approximately $3,000.00

Meal Value: 75 meals in the Skillman Dining Hall, valued at approximately $700.00

Fingerprinting: Approximately: $70.00
