Position Summary:

As a member of the Facilities Management Department, the Office Administrator will support the office by providing quality customer service, administrative support, communication, and social media management. The Office Administrator reports to the Director of Facilities Management.

Primary Responsibilities Include:

  • Providing quality customer service to all students, parents, faculty, staff, visitors and vendors
  • General front office coverage including answering phones, taking service requests, assisting walk-ins, printing, copying, etc.
  • Coordinating meetings, appointment calendars, typing correspondence and maintaining departmental files
  • Composing original material for campus distribution based only on ideas in broad outlines provided by Department leadership
  • Assisting the accounting clerk in the construction document filing plan and performing accounts payable responsibilities as necessary
  • Providing coverage for other front office positions
  • Provide support and assistance to the management team as may be needed

    Maintain Archive of Digital Resources
  • Organizing and saving critical information resources such as plans (blueprints), specifications, finish schedules, legal documents, etc.  (typically accomplished in a digital format such that they are available to all department personnel as needed)

    Social Media/ Departmental Website
  • Serving as a central monitor and proactively engaging the Rollins community about departmental projects and timely updates
  • Creating unique content for use on social media platforms
    Identifying interesting departmental/user-generated content
  • Creating and maintaining a social media plan; and instituting workflow for requesting, creating, editing, publishing, and retiring content

  • Coordinating the dissemination of information from the department that needs to be known within the campus community on a range of digital platforms
  • Working with appropriate marketing and communications staff to ensure brand accuracy and messaging continuity
  • Performing other related duties as assigned

Minimum Qualifications:


  • Bachelor’s Degree preferred
  • 2+ years of job-related experience preferred
  • Experience in higher education and/or construction industry is preferred
  • Preference to applicants with first-hand Rollins knowledge or experience
  • Strong customer service skills with a friendly and engaging attitude
  • Excellent telephone etiquette
  • Proficiency in Microsoft Office and ability to learn new software as necessary
  • Strong understanding of Social Media platforms, specifically Facebook, Twitter, plug-ins, group/page management and analytics
  • Strong organizational and analytical skills, detail-oriented
  • Time management skills; ability to set priorities and manage time effectively in a deadline-driven environment without constant supervision
  • Strong verbal and written communication skills; thorough knowledge of business
  • English, spelling, and grammar
  • Strong interpersonal skills, with a willingness to work in a team-oriented environment
  • Ability to use tact and good judgment in resolving work problems and dealing with the public, staff, faculty, students, and parents
