Position Summary:

The Coordinator plays an important role on The Rollins Annual Fund team, working to increase total funds raised and total number of donors each year. The Coordinator is responsible for managing the student phoning program, volunteer management with fundraising efforts for the athletics department and varsity teams, and support of the overall mission and activities of the office.  The Rollins Annual Fund Office educates alumni, parents, and current students about the importance of current dollars to the operation of the College and provides opportunities and encouragement for constituents to maintain and increase annual fund dollars and participation.

  • Remain current on trends, strategies, and services offered by other institutions, specifically those focused on annual fundraising through phone solicitation and annual fundraising efforts and programs supporting Division II Athletics.
  • Assist the Director and Assistant Directors with other programs and projects as needed.
  • Act as a team player and communicate program information within the Institutional Advancement Division and with college constituencies.
  • Represent Rollins Annual Fund staff and provide support for division-wide projects.
  • Assist with Institutional Advancement events to include Alumni Weekend and Spring Parent’s Forum.

Manage phoning campaign:

  • Work with Rollins Annual Fund staff and Advancement Services staff to coordinate the transfer of data to and from the phoning system and ensure the accuracy of those files.
  • Manage the data within the automated calling system.
  • Work closely with Rollins Annual Fund staff to identify segments and calling pools.
  • Recruit and interview student callers. 
  • Plan and facilitate caller training.
  • Write phoning scripts and training materials.
  • Actively manage student supervisors as well as student callers. 
  • Develop appropriate incentives and motivational programs for student callers.
  • Be regularly present at evening calling shifts and actively monitor calls.
  • Follow up with constituents as needed.
  • Work with Advancement Services staff to manage the timely mailing of pledge confirmation letters and pledge reminders.
  • Analyze phoning reports and progress. 
  • In consultation with director, seek to maximize phoning efforts.
  • Assist the Director in the development and management of the budget for the phoning program.
  • Evening and weekend work required to fulfill job responsibilities.
  • Must be able to work independently and unsupervised on nights and weekends during calling shifts. The typical work schedule for calling night is 2:00 p.m. to 9 p.m.

Athletics Fundraising:

  • Communicate regularly with the Director of the Rollins Annual Fund, AVP for Development and Athletic Director to discuss athletic program needs within Rollins Annual Fund priorities.
  • Provide weekly gift reports for coaches and encourage them to thank donors personally.
  • Manage the annual athletics phonathon.
  • Support the Assistant Director of Annual Giving, Direct Mail, in the creation and execution of special direct mail initiatives for athletics.
Education and Experience Required

 

  • Bachelor’s degree.
  • Requires 3 years of job-related experience.
  • Experience in higher education and/or non-profit organization is preferred.
  • Preference to applicants with first-hand Rollins knowledge or experience.
  • Staff management and higher education telemarketing experience strongly preferred
  • Proficiency in Microsoft Office, ability to learn and utilize Ellucian Banner database, Argos reporting, and CampusCall phonathon software.
  • An aptitude for numbers, data, and analysis is essential, as is an ability to motivate and manage a diverse group of student employees.
  • Experience using social media tools.
  • Strong project management and organizational skills; detail-oriented; ability to set and balance multiple priorities, and manage time effectively in a deadline-driven environment.
  • Excellent interpersonal, verbal, and written communication skills; thorough knowledge of business English, spelling, and grammar.
  • Willingness to work in a team-oriented environment and ability to work collaboratively with alumni as well as Rollins faculty, administrators, and staff. Flexibility and strong customer service skills are critical for frequent interaction with donors and volunteers.  
  • Evening and weekend work required to fulfill job responsibilities. Additionally, must be willing to work occasional evenings and weekends for Advancement events throughout the year, including Alumni Weekend, Spring Parents Forum, and Alumni Association Board of Directors meetings.
