Job
Summary:

The Assistant Director of Gift Services is responsible for managing the accurate and timely processing and administration of all gifts, grants, and pledges to the College, ensuring compliance with IRS tax laws and regulations, accounting best practices, and Council for Advancement Support of Education (CASE) standards. The Assistant Director of Gift Services serves as the department’s subject matter expert in gift recording and administration. This position reports to the Assistant Vice President of Advancement Services and Strategic Operations.

Primary Responsibilities

  • Oversees the gift & records administration to ensure all outright gifts, pledges, and pledge payments are booked daily, receipts mailed out within 48 hours, and related documentation scanned to shared office and electronic document files in a timely fashion.
  • Responsible for quality control in gift operations by creating checks and balances and executing audits.
  • Evaluate operations and recommend changes to create efficiencies and improved practices for gift processing, keeping the process workflow documentation current.
  • Develops gift management policies and procedures, to include creating and maintaining manuals for how to perform gift entries and gift management.
  • Develops standards for OnBase a co-document imaging resource shared with Finance.
  • Interpret and apply knowledge of tax laws, accounting rules, and CASE standards, ensuring gifts are compliant with the Gift Acceptance Policy.
  • Validate all data and reports related to charitable contributions to the College including donor giving summaries.
  • Responsible for monitoring pledge schedules and producing pledge reminders for annual and major gifts as scheduled.
  • Monitors pledge health throughout the year and makes periodic recommendations for write offs.
  • Ensures that department and division colleagues follow appropriate Payment Card Industry guidelines when working with and/or processing credit card information.  Processes gift-related credit cards adhering to PCI compliance regulations.
  • Serve as a liaison with the Finance office to ensure compliance with College policies, CASE, and CAE reporting standards.
  • Administers the matching gifts program.
  • Remains current with data and biographic information policies and processes to provide backup for the Records team during gift processing and high volume time frames.
  • Oversees high volume and seasonal support training (end of calendar year, Day of Giving, etc) and audit controls process to ensure strong gift and related biographical data updates are in line with policies and procedures.
  • Manages relationships with banking and financial institutions receiving charitable contributions on behalf of the College – including lockbox, wire transfer, and stock donations.
  • Partners with other offices that collect gifts across the Rollins campus to develop processes for the sharing of relevant information.

Minimum Qualifications & Education:

  • Associate's degree.
  • Three years of job-related experience.
  • Proficiency in Microsoft Office.

Preferred Qualifications

  • Experience in higher education and/or non-profit organizations.
  • Familiarity with a relationship CRM or similar information system.

Knowledge, Skills, and Abilities:

  • Ability to handle confidential information, maintain, and update files with a high degree of accuracy, and sensitivity to the importance of stewardship and donor relations.
  • Strong organizational and analytical skills; detail-oriented; ability to set priorities and manage time effectively in a deadline-driven environment.
  • Strong verbal and written communication skills.
  • Strong interpersonal skills; ability to work well with donors, prospects, business executives, as well as faculty, administrators, staff, and students.

Work Environment:

 

  • Campus-based, front-facing position, working in an office environment. 
  • Work requires visual strain and the use of a computer.
