Position Summary:

This temporary position focuses on Official College and student events. The position will be filled from approximately January 6 – April 17. This position also oversees administrative functions of the department including EMS Dashboard approvals and office supply inventory.

Anticipated Employment Dates: January 6, 2020 - April 17, 2020.

Primary responsibilities include: 

  • Student Events – works with related student services offices for proper event oversight and approval process through Get Involved program
  • General event inquiries via Dashboard, phone, and email. Designating to other SES staff as necessary.
  • Faculty & staff room requests for official College events
  • Parking requests
  • Website maintenance
  • Banner policy oversight and coordination
  • Assists Registrars with Academic Scheduling integration with EMS
  • On-site support prior to the start of an event
  • Inventory and ordering of office supplies
  • Responsible for distributing daily reports
  • On-site assistance with Alumni Weekend March 27-29
  • Commencement email oversight
  • Performs related duties as assigned

Minimum Qualifications:


  • Bachelor’s degree in relevant field preferred
  • Three years additional job-related experience preferred in planning, coordinating, and managing events and meetings
  • Demonstrated experience in a college or university environment, with knowledge of campus departments, procedures, and policies is preferred
  • Strong skills in customer service and ability to communicate effectively both orally and in writing
  • Required computer skills: use of word processing, spreadsheets, and database systems
  • Working knowledge of a variety of office machines and computer software including web design, publisher, photoshop, and data/software integration. Knowledge of
  • Event Management System (EMS) a plus
  • Experience in software administrator role a plus, including troubleshooting and training
  • Ability to interact effectively with faculty, staff, students, and the public is strongly desired
  • Ability to use tact and good judgment in resolving work problems and dealing with the public, students, and staff
  • Ability to represent the college through events and summer programs
  • Organizational and time management skills
  • Maintain, update, and analyze files and records with a high degree of accuracy
  • Demonstrate ability to embrace and model Rollins’ Service Philosophy and
  • Standards and provide competent, collaborative, responsive, and respectful service to others
  • Must be available to work overtime, evenings, and weekends as needed
  • Position involves bending, lifting, and walking for extended periods
  • Overtime may be required as needed including nights and weekends

The pay rate is $18.00/hr.

This is a temporary position working less than 1,000 hours/year. There are no benefits associated with this position.
