Position Summary:

The Scheduling & Event Services Department at Rollins College is seeking three (3) energetic Summer Event Coordinators. These are summer residential appointments, which require the coordinators to live on campus during the 2020 summer. The coordinators will serve as liaisons between the college and conference groups visiting Rollins. Candidates must be available to work from May 19th through July 29th.

Coordinators must possess outstanding customer service skills as well as strong written, verbal and interpersonal communication skills. Self-starters that excel in a fast paced environment are encouraged to apply. Experience managing events, working with large groups, and/or working an on-call schedule is preferred. Applicants must have extensive knowledge of Rollins College facilities. The Summer Event Coordinators report to the Manager of Conferences and External Events in the department of Scheduling and Event Services.

Primary responsibilities include: 

  • Assisting in the Scheduling & Event Services office to prepare for Summer Conferences’ group’s arrivals and performing other general office duties 
  • Ensuring residence hall and meeting facilities are prepared prior to group’s
  • Arrivals,submitting work orders and service requests and following up on requests,
  • Facilitating check-in and check-out procedures for visiting Conference groups
  • Overseeing issuance of keys to the residence halls, troubleshooting logistical concerns
  • Coordinating the distribution of event materials to groups, preparing and maintaining Conference paperwork
  • Coordinate ongoing housekeeping needs with Facilities Management and following up on work order requests
  • Act as liaison for group for all Campus departments (Catering, Class Tech, Facilities Management, Campus Security)
  • Coordinate space requests with other departments, arranging residence halls and meeting room facilities to meet the requirements of visiting groups, including moving tables, chairs and ensuring signage is posted prior to group’s arrival
  • Assisting with other Summer events on campus, create and distribute the Summer Conferences newsletter throughout the Summer, and immediately communicate any issues with the department of Scheduling and Event Services
  • Perform other duties as assigned

Minimum Qualifications:

 

  • Current or recent student of Rollins College
  • High School education plus one year of additional business, technical or college training or equivalent combination of education and experience
  • Excellent customer service and problem solving skills
  • Strong interpersonal skills and ability to use tact and good judgment in resolving work problems and dealing with the public
  • Strong written, verbal, and interpersonal communication skills
  • Strong time management and organizational skills
  • Ability to be a self-starter and excel in a fast paced environment
  • Experience with making quick decisions and the ability to respond to last minute requests and issues
  • Experience managing events, working with large groups, and/or working an on call schedule is preferred

Level 2 Background Screening Requirement

Once an offer of employment is made, the candidate must pass a Florida Level 2 Background Screening prior to May 1, 2020. The cost of the fingerprinting is the responsibility of the candidate. The cost is approximately $70.00+ and payment is collected when the appointment is scheduled.

Summer Event Coordinators cannot start working until all background screening results are returned and cleared or until they have received an approved exemption.

Compensation:

The Summer Event Coordinators must live on Campus during Summer 2020 and be on an on call schedule (with pre-approved days off each month) until the end of employment on July 29th.

Summer Stipend: $3,500.00 (paid on a bi-weekly basis)

Housing Value: One single room in an on-campus residence hall, valued at approximately $3,000.00

Meal Value: 75 meals in the Cornell Campus Center, valued at approximately $700.00
