Job
Summary:

The part-time Bookkeeper/Administrative Assistant plays a vital role in maintaining and upholding accurate financial records, ensuring strong financial processes are consistently in place, and supporting the Executive Director’s administrative tasks. This role includes recording financial transactions, reconciling accounts, vendor documentation oversight & grant compliance support, assistance in preparation of financial reports, and supporting the Executive Director. This position reports to the Executive Director.

  • Accounts Payable/Receivable: Manage accounts payable by processing vendor invoices, issuing payments, and maintaining vendor relationships. Handle accounts receivable by generating and sending invoices and following up on payments.
  • Recording Transactions: Enter financial transactions into the systems used by Rollins and EBI, including invoices, receipts, payments, vendor information, independent contractor agreements, and expenses.
  • General Ledger: Maintain the general ledger by categorizing and recording transactions into appropriate fund accounts.
  • Reconciliation: Reconcile financial records utilized by Rollins and EBI to ensure accuracy and identify discrepancies.
  • Financial Reporting: Maintain, monitor, and produce financial statements, reports, and summaries on a regular bases (monthly and year-end), or as needed.
  • Payroll Support: Collaborate with Rollins payroll department to ensure accurate employee compensation and related entries in accordance with the budget & funds at EBI.
  • Data Entry: Accurately input and update financial data in the Rollins College & EBI accounting, invoicing, and CRM systems.
  • Compliance: Ensure compliance with relevant accounting regulations and Rollins policies.
  • Record Retention: Maintain organized and secure financial records for auditing and reference purposes.
  • Grant Compliance: Provide accounting & compliance support to active grants (federal & private) by understanding and adhering to grant requirements.
  • Communication: Collaborate with internal teams, Rollins Finance, and other stakeholders as needed to provide financial information and resolve vendor & customer inquiries.
  • Strong Customer Service: Provide customer service and support to vendors, instructors, contractors, and members.
  • Administrative Support: Provide support to Executive Director on administrative needs including scheduling, logistics, stewardship letters, and reporting.

Minimum Qualifications
& Education:

  • High school education plus one year of additional business, technical or college training or equivalent combination of education and experience is required.
  • Requires one to two years of job-related experience.
  • Knowledge of accounting principles and practices for accurate record keeping.
  • Proficiency in utilizing accounting software, CRMs, and Microsoft Office applications.
  • Proficient in using Microsoft Excel or other spreadsheets software.
  • Demonstrated experience in accounts payable, accounts receivable, general ledger reconciliation, and financial statement preparation.
  • Familiarity with budgeting.
  • Experience using Banner and Argos highly preferred.
  • Strong attention to detail and accuracy in data entry and record-keeping.
  • Experience with federal grant compliance and record keeping, a plus.
  • Excellent organizational and time management skills.
  • Basic understanding of accounting principles and practices.
  • Strong communication skills and ability to work effectively with a team.

Work Environment:

  • Campus-based position working in a fast-paced office environment.
  • Regular use of a computer and databases.
  • 20-25 hours per week (1300 hours annually).
  • Monday – Friday, 9:00AM – 2:00PM. Flexible scheduling required, as needed.
