Position
Summary:

The Assistant Registrar for Scheduling and Graduation reports to the college registrar and is responsible for managing the semesterly course scheduling process for the College of Liberal Arts and Hamilton Holt Schools and for the upkeep and integrity of the Banner-based catalog and online schedule of courses content. The Assistant Registrar for Scheduling and Graduation is also responsible for commencement planning, including preparation of participant lists, seating/lineup, and diploma printing. 

Primary Responsibilities:

  • Update the schedule of courses in Banner, including management of all schedule comments, section capacities, prerequisites, and section attributes.
  • Serves as liaison to departments and communicates scheduling deadlines related to the schedule building processes.
  • Works closely with International Programs to register students for study abroad, approves credit pre-approval forms, and processes final transcripts.  Facilitates the registration process for field study programs.
  • Provides support to the college registrar and Curriculum Committee New Course Subcommittee by collecting, loading, and maintaining department course proposal/change forms and major/minor change requests to Canvas.  Tracks forms during the approval process, logs final decisions, and communicates approvals.  
  • Works with the senior associate registrar to make sure curricular changes are properly coded in Banner, Degree Works, and college catalog(s). 
  • Assign all academic courses to classrooms each term, communicate with department administrative assistants and/or teaching faculty regarding preferences and needs, balance competing requests, and notify instructors of final assignments.
  • Review Degree Works and degree progress in response to student inquiries.  Processes degree exceptions in Degree Works in consultation with department/program chairs, advisors, and the College Registrar.
  • Maintain degree candidate lists for all three colleges. Updates, verifies, and provides graduation information to students, advisors, and department chairs. 
  • Coordinate commencement activities, including preparation of graduation lists for presidential, trustee, and faculty approval; preparation of participant list (including verifying participation eligibility); printing and organization of diplomas for distribution at ceremonies; preparation of masters and doctorate hoods for the ceremony; solicit information on diploma name, name pronunciation, hometown, and major for commencement program, and assisting on platform during ceremonies.

Qualifications
& Education:

  • A Bachelor’s degree or equivalent is required; an Associate's degree plus relevant experience may be considered.
  • A minimum of two years of registrar’s office experience in higher education is required; experience in a related field, such as advising, may be considered.

Knowledge, Skills, & Abilities:

  • Proficient using Microsoft Excel.
  • Prior experience with Ellucian Banner and Degree Works is strongly desired.
  • Prior experience using Microsoft Access is strongly preferred.
  • Knowledge of college or university class scheduling, curricular processes, policies, and procedures.
  • Excellent attention to detail, time management, and analytical skills.
  • Strong written and verbal communication, interpersonal, and customer service skills.
  • Ability to use tact and discernment in identifying and resolving problems.

Work Environment:

  • Campus-based, front-facing customer service position, and working in an office environment.
  • Travel and participate in organizations, seminars, conferences, committees, and events outside of Rollins.
