Position
Summary:

The Scheduling and Production Coordinator manages reservations, logistics, and setup for various events and performances. This role involves supervising student house managers, maintaining the master events schedule, creating content for the Music at Rollins webpage, and acting as a liaison between the Department of Music, musicians, and the Bach Festival organization. Additionally, the coordinator handles student and faculty records, coordinates with campus admissions, and manages instrument maintenance and room assignments. This position requires excellent organizational skills and the ability to work closely with faculty, students, and external organizations.

Primary Responsibilities:

  • Serve as the scheduling and production coordinator for the Teidke Concert Hall, coordinating reservations, logistics, lighting, equipment delivery, and supervising student house managers.
  • Schedule and coordinate on and off-campus events and programs conducted by the Department of Music.
  • Create and edit written content for the Music at Rollins webpage, Department of Music concert programs, and student recitals.
  • Act as a liaison between the Department of Music, musicians, and the Bach Festival organization.
  • Manage the concert credit database and its implementation.
  • Maintain the Department of Music Student and Faculty Handbook.
  • Liaise with campus admissions offices regarding Music Department prospects, maintaining recruitment efforts and communicating with prospective students about their audition results.
  • Schedule and manage each semester’s juries and recital hearings.
  • Work with the Chair and faculty to coordinate academic scheduling and course offerings.
  • Organize and administer new music major orientation each semester.
  • Assign studios, practice rooms, and times for all applied music students.
  • Supervise and train work-study students.
  • Maintain the Department calendar of events.
  • Update and maintain door templates and email rosters.
  • Coordinate robe fitting and assignment for the holiday Vespers service.

Minimum Qualifications
& Education:

  • Associates in Arts Degree.
  • Experience in the field of Music.
  • At least three years of job related administrative, customer service experience.

Preferred
Qualifications:

  • Bachelors degree in Music.
  • Knowledge of College environment, departments, procedures, and policies.
  • Knowledge of accounting, financial planning, and budgeting.

Knowledge, Skills, & Abilities:

  • Basic understanding of theoretical and historical music applications.
  • Familiarity with word processing software (e.g., WordPerfect, PageMaker).
  • Proficiency in Microsoft Office applications and Learning Management Systems (LMS) such as Canvas and various web-based platforms.
  • Experience in online marketing and promotions.
  • Strong problem-solving skills and the ability to interact tactfully and judiciously with the public, students, and staff.
  • Excellent oral and written communication skills for maintaining and updating files, logs, reports, and correspondence.
  • Effective organizational and time management skills.
  • Ability to prioritize tasks and manage multiple demands efficiently.

Work Schedule:

  • The Scheduling & Production Coordinator is a full-time, 12-month appointment, scheduled to work 37.5 hours per week, for a total of 1,950 hours annually.
  • Work hours are Monday - Friday between the core hours of 8:30am - 5:00pm. Schedule will be discussed during the interview process. Flexible schedules and/or overtime may be required to meet business needs (i.e. annual Music Department events).

Work Environment:

  • Campus-based, front-facing customer service position, working in an office environment with other staff members.
  • Regular use of a computer and databases.
