Job
Summary:

Grants and Sponsored Research Accounting

  • Assist with the development and submission of external grant proposals.
  • Provide regulatory compliance – comply with and monitor requirements for management of grants and contracts to interpret operational impact and recommend procedural changes.
  • Review and interpret sponsoring agency notice of award requirements/terms of contract.
  • Provide expert advice and guidance on research award management and administrative post-award processes.
  • Assist Principal Investigators with grant administration, expense allocation, progress reporting, and compliance.
  • Prepare and submit drawdowns or invoices for grant programs specified in the grant award.
  • Prepare all financial reports and submissions to the appropriate grant agencies on a timely basis.
  • Analyze and monitor budgets and expenditures for compliance with Principal Investigator on a regular basis.
  • Finalize grant close-outs with principal investigator and sponsoring agency.
  • Interface with sponsor agencies.
  • Assist Controller with Facilities and Administrative Cost Proposal submission and negotiation with cognizant rating agency.

Department of Education Fiscal Management

  • Monitor and execute the drawdown of government funds through the Department of Education system.
  • Coordinate and process Perkins loan program interface with third party servicer.
  • Provide financial reports to management of federal grant programs.
  • Prepare and report financial figures for the Department of Education (FISAP) report.
  • Prepare audit work-papers, including schedules related to Federal and State awards for OMB Single Audit, Sub-Recipient Monitoring, and Uniform Guidance Compliance.
  • Reconcile financial aid programs with the Office of Financial Aid.

Manage Fixed Asset and Capital Improvement Project Accounting

  • Establish project accounts and associated mapping.
  • Ensure additions to capital projects are in line with Rollins College policies, procedures, as well as generally accepted accounting principles.
  • Maintain and reconcile fixed asset records.
  • Monitor and record construction in progress and capitalization of assets.
  • Prepare depreciation and asset schedules.
  • Perform detailed analysis and provide capital project reporting for management.  
  • Coordinate meetings with facilities, technology, and other departments to review project budget.
  • Monitor and adjust asset inventory accounts.

Financial Reporting

  • Prepare financial data, reports, and schedules required for NCAA athletics compliance (EADA, FRS, AUP).
  • Prepare financial statements and budget submission for Knowles Chapel.
  • Monitor and support financial reporting for Cornell Fine Arts Museum (CFAM).
  • Assemble financial documents in response to the auditor’s needs and assist in the preparation of supporting documentation and research of audit work papers.
  • Respond to a wide variety of special projects and reporting requests with complete, accurate, and timely work.

General Accounting and Other Responsibilities

  • Review and adjust amortization of prepaid expenses and deferred revenues.
  • Perform select balance sheet account reconciliations and monitor general ledger accounts for proper expenditure classifications.
  • Effectively communicate complex accounting and finance concepts through both written and oral communication, catering to diverse audiences. Skilled in developing tools for management reporting to enhance understanding of financial information.
  • Cross train with other accounting functions.

Minimum Qualifications:

  • Bachelor’s degree in Accounting, Finance, or related program;
  • At least five (5) years of job-related experience; or,
  • Equivalent combination of education and experience.

Knowledge, Skills, and Abilities:

  • Extensive knowledge of higher education accounting and financial reporting standards.
  • Strong organizational abilities coupled with the ability to prioritize tasks given the many reporting requirements and deadlines during peak times of the year.
  • Strong analytical abilities to formulate detailed financial spreadsheets using spreadsheet software with a good understanding of accounting principles and theories and the ability to apply those principles and theories to unique situations.
  • Experience in writing simple queries. Two or more years of substantive functional experience with Banner (or another ERP system) is highly desirable.
  • Ability to focus and to work independently.
  • Ability to perform work involving extremely detailed written numerical data and to make arithmetic calculations rapid and accurately.
  • Handle confidential information with tact and discretion.

Work Environment:

 

  • Campus-based, front-facing position, working in an office environment with other staff members. 
  • Work may require long periods without significant interaction with co-workers or other people. 
  • Requires some physical effort, i.e., some standing and walking, some light lifting (5-10 lbs.); some carrying moderate weight (12-20 lbs.) and the operation of office equipment in which manipulative skills and eye-hand coordination are important ingredients of productive operations. 
  • Work requires visual strain and extended periods at the keyboard due to computer usage.
  • Extended hours during peak periods.
