Job Summary:

The Center for Career & Life Planning at Rollins College is seeking a full-time, service-oriented Program Coordinator to join our team. The Program Coordinator role is essential to the smooth and efficient operation of the Center, providing key support across a range of functions including office administration, budget coordination, data management, vendor and supply procurement, marketing and social media, and event planning. The Program Coordinator will work closely with CCLP staff, campus partners, and students to advance the Center’s mission and enhance the student experience.

Primary responsibilities include:

  • Administrative Coordination
    • Coordinate all administrative and customer service support for Center for Career & Life Planning (CCLP) visitors including students, alumni, employers, administrators, faculty, and staff.
    • Serve as point person for CCLP mail, telephone, and online communications, directing to appropriate staff as needed. 
    • Requisition and monitor office supplies, work orders/maintenance services, and office swag as needed.
    • Organize the agenda, schedule, and take notes for CCLP staff meetings. Co-coordinate special staff programming and events.
    • Assist in coordinating CCLP staff coverage for college events (fair tabling, orientation, etc.) and assemble materials needed.
    • Act as backup for student and supervisor support offering guidance on broad employment processes.
  • Career Technology Coordinator
    • Serve as the main point of contact for Handshake (career management system) and vendor account representative.
    • Serve as the Handshake (CRM system) administrator/super-user for the CCLP, maintaining and updating resources in the system.
    • Maintain CCLP shared drive, ensuring all documents are organized and easily accessible.
  • Data Management
    • Track and compile monthly/annual office usage statistics (events, appointments, attendance, outreach, Handshake system usage, drop-ins, etc.).
    • Track programming and attendance statistics to support assessment reports and storytelling.
  • Marketing and Branding Support
    • Coordinate marketing and promotions of all CCLP events, hiring campaigns, and resources via mass email, flyers, posters, newsletters, and both print and social media.
    • Update and maintain CCLP and affiliated webpages on the Rollins College website.
  • Budget Support
    • Track office expenses for CCLP and assist staff with maintaining the operating budgets. 
    • Handle all expense/travel reimbursements, and P-Card reconciliations for office. 
    • Coordinate timely renewals and payments for resources, vendor invoices, professional association memberships, and conference registrations for staff.

Minimum 
Qualifications & Education:

  • High school education plus two years of job-related experience.

Preferred
Qualifications:

  • Bachelor’s degree from an accredited university or college.

Knowledge, Skills, & Abilities

  • Strong interpersonal and communication skills with the ability to build positive relationships with diverse stakeholders.
  • Proven organizational, time management, and multitasking abilities in a fast-paced environment.
  • Proficient in office systems, data management, and software tools including Microsoft Office, CMS, and databases.
  • Skilled in interpreting complex information and making sound decisions with attention to detail and accuracy.
  • Experience with social media marketing, event promotion, and basic budgeting or financial planning.
  • Adaptable, collaborative, and committed to service excellence in support of students, alumni, and campus partners.

Work Environment:

  • Campus-based, front-facing position, and working in an office environment. Occasional remote work opportunities, with prior supervisor approval.
  • Normal operating times are from 8:30am-5:00pm.
  • Work requires visual strain and the use of a computer.
  • Overtime, evening and/or weekend work may be required to support programs and campus events.
  • Occasional travel to off-campus activities or professional development events.
