Position Summary:

The mission of the Crummer Graduate School of Business at Rollins College is to develop global business leaders and innovators through a high quality, integrated, experiential education that prepares them to add significant value to their organizations and communities. As the Assistant Registrar, the incumbent will be responsible for the day-to-day operational management and compliance of Crummer student records and course scheduling, reporting to the Associate Dean of Academics with a dotted line to the Director of Student Services. The incumbent will report to the Dean of the Crummer Graduate School of Business with supervision also provided by the Associate Dean of Academics with responsibility for the adaptation of budgets in alignment with Crummer’s mission.

General responsibilities include:

  • Budget Analyst Duties
    • Enact and monitor mission-centric budget strategies across Crummer.
    • Produce expenditure reports consistent with Crummer’s mission and in alignment with Rollins College standards and procedures.
    • Ability to work alongside Deans and cross-functional internal partners to ensure budget plans are properly executed.

  • Registration
    • Collaborate with Student Account Services and Financial Aid offices for each program to set up term start and end dates, individual parts of term, fee assessment, refund policy details, online registration dates, and various criteria necessary to meet program specific and accreditation requirements.
    • Supervise, train, and performance manage the Student Records Coordinator.
    • Assist students with questions regarding registration, program requirements, and waitlists.
    • Schedule online registration for electives, drop/add periods, withdrawal deadlines, and any other information needed to update the registration procedures and refund policies in Banner.
    • Work with Student Account Services to resolve escalated accounts in tuition arrears.
    • Customize registration notifications to students and confirm students are registered.
    • Assist with alumni audit requests by loading approved alumni to course Canvas, communicating login information to them.
    • Serve as a resource to the Dean of Academics in developing the schedule of classes.

  • Student Records Management
    • Manage and maintain student records for the EDBA and all three MBA programs. This includes records administration, registration, withdrawals and any other support activities.
    • Ensure that security and compliance measures are followed as they pertain to the school and Rollins College federal and academic policies.
    • Provide records transfer and reporting information for academic advisors and other administrative departments at the college.

  • Grade Processing Duties
    • Manage and facilitate the grade process: end of term updates in Banner, incompletes, failed, dismissals, and probation statuses. and prepare academic reports for each term and
    • Oversee the grade reports and enrollment verification processes as needed for employment reimbursement purposes.

  • Graduation Preparation Duties
    • Manage the necessary graduation procedures: processing intent-to-graduate forms and end of term audits.
    • Compile graduation lists for approval by the faculty and Board of Trustees.
    • Collaborate with bursar office on making final collection efforts to reconcile accounts before final diplomas and transcripts are released to graduates.

  • Commencement Duties
    • Oversees all activities leading up to commencement and serve as marshal on commencement day.
    • Collaborate with IT, bookstore, and other departments to update commencement event information for the MBA Oath and Beta Gamma Sigma Induction Ceremony.
    • Update and maintain all commencement links and webpages to share commencement information.

  • Statistical Reporting
    • Provide routine and customized reports concerning enrollment, demographics, and graduation data.
    • Process error resolution and reports each term in Banner for the national student clearinghouse. Uploads data to national student clearinghouse secure FTP site and resolves errors as needed.

  • Technology Management
    • Serve as Crummer ‘s representative for student services-related technology (i.e. Banner, Degree Works, etc.)

Minimum Qualifications:

 

  • Bachelor’s degree required (Master’s preferred) with five years of professional work experience and a preference for at least two years supervising others.
  • A background in higher education is strongly desired with experience with higher education technologies: Banner, Canvas, and DegreeWorks.
  • A self-starter with the ability to lead detail-oriented tasks and multi-task under minimal supervision, individually and with a team.
  • Excellent analytical skills and numerical skills with the ability to translate analytical findings into actionable solutions and processes.
  • Familiarity with federal, college, and clearinghouse compliance regulations
  • Strong communication skills, both oral and written in order to maintain and update files, logs, reports, and correspondence.
  • Demonstrated organizational and time management skills.
  • Knowledge and proficiency with personal computers, database management, and Microsoft Office suite, with above-average Microsoft Excel, Word and PowerPoint skills.
  • Ability to produce spreadsheets and interactive dashboards in order to track revenue streams and interpret cash flow.
  • Possesses good judgment and tact in resolving work problems and dealing with the public, students, and staff.
  • Continually monitor student feedback for possible office and/or procedural improvements.
  • Must be willing to work evenings, Saturdays, and travel if required.
  • Willingness and ability to participate in organizations, seminars, conferences, committees and events outside of Rollins.
