Rollins Colleges' Facilities Services is seeking a service-oriented Administrative Assistant to join their team! As a member of Facilities Services, the Administrative Assistant will support the office by providing quality customer service, administrative support, key updating support, communication, and social media management.

Primary Job 

  • Providing quality customer service to all students, parents, faculty, staff, visitors and vendors.
  • Performing general front office coverage including answering phones, radio dispatch, taking service requests, assisting walk-ins, key updates, printing, copying, mail pickup/sort, etc.
  • Coordinating meetings, appointment calendars, and typing correspondence.
  • Composing original material for campus distribution based only on ideas in broad outlines provided by department leadership.
  • Assisting the accounting clerk by preparing, processing and verifying invoices, bills, check requests, budget allocations and expedites payments to vendors; also maintaining and recording petty cash transactions, and vendor setup and coordination as necessary.
  • Working with appropriate marketing and communications staff to ensure brand accuracy and messaging continuity.
  • Providing coverage for other front office positions as needed.
  • Supporting and assisting the management team as needed.
  • Performing other relevant departmental duties as assigned.

Minimum Qualifications:

  • Minimum two(2) years of job-related administrative/front desk/customer service experience.
  • Strong customer service skills and telephone etiquette with a friendly and engaging attitude.
  • Proficiency in Microsoft Office Excel and PowerPoint and ability to learn new software as necessary.
  • Understanding of social media platforms, specifically Facebook and Twitter (i.e. plug-ins, group/page management, and analytics).
  • Strong organizational skills,  analytical skills, and detail-oriented.
  • Time management skills; ability to set priorities and manage time effectively in a deadline-driven environment without constant supervision.
  • Strong verbal and written communication skills; thorough knowledge of business English, spelling, and grammar.
  • Strong interpersonal skills, with a willingness to work in a team-oriented environment.
  • Ability to use tact and good judgment in resolving work problems and dealing with the public, staff, faculty, students, and parents.

Preferred Qualifications:

  • Experience working in higher education and/or construction industry.
  • Rollins College knowledge and/or experience.
  • Bilingual (English/Spanish).

Work Schedule:

The Facilities Administrative Assistant role is a full-time 12-month appointment, scheduled to work 7.5 hours/day, 37.5 hours per week. The schedule for this position is Monday-Friday, 8:30am - 4:30pm.*

*Overtime and weekends may be required as needed.

Work Environment:

  • Working in-person, on campus, in a fast-paced office environment.
  • Work requires visual strain and use of computer.
