Job Summary:

As an Executive Assistant & Facility Coordinator, you will play a pivotal role in supporting the Associate Vice President for Finance & Assistant Treasurer and ensuring the smooth operation of the office. Your responsibilities will include managing calendars, coordinating meetings, preparing materials, and handling confidential information with utmost discretion. Additionally, you will oversee facility management tasks, ensuring that our physical spaces are well-maintained and conducive to productivity.

To excel in this position, you should possess exceptional organizational and communication skills, with a keen eye for detail and the ability to multitask efficiently. Proficiency in Microsoft Office suite and familiarity with facility management systems are essential. A proactive approach, adaptability, and a commitment to providing exceptional service are key attributes for success.

Primary Job Functions:

  • Provides a range of complex executive and administrative assistance to the Associate Vice President for Finance & Assistant Treasurer and provides general administrative support to administrators and accountants.
  • Manage all contracts requiring execution by the Vice President for Business and Finance.
  • Prepares correspondence, reports, charts and forms for the department.
  • Schedules and coordinates meetings/special activities for the Finance department, for both external and internal parties and Board of Trustees committee meetings.
  • Assists in preparation, printing, and distribution of materials for Board of Trustees meetings.
  • Makes travel arrangements for the AVP and completes travel expense reports.
  • Assists AVP for Finance in preparation of presentations.
  • Maintains list of financial reports that need to be issued to various state and federal agencies.
  • Prepares check requests for purchasing and bills.
  • Prepares necessary information for the annual audit, monthly, quarterly & annual reports, relating to correspondence and account confirmations.
  • Maintains and updates intricate departmental files, records, check receipt, reports and confidential reference material.
  • Trains and supervises work-study students.
  • Act as Building Manager working with Facilities Management, housekeeping vendor and other outside vendors to ensure maintenance issues are resolved in a timely manner and communicate to staff as necessary.
  • Proactively manage general esthetics of the interior and exterior of the building.

Minimum 
Qualifications & Education:

  • High school education 
  • At least two to three years of job-related office administration experience.

Preferred Qualifications:

  • Experience working at a College.

Knowledge, Skills &
Abilities:

  • Ability to perform and coordinate complex office administrative work requiring the use of independent judgment, proactive time management, delegating, and initiative.
  • Knowledge of office budgeting/accounting methods and practices to process invoices and reconcile multiple budgets.
  • Strong interpersonal skills, including the ability to work professionally with campus colleagues, leadership, students and external constituents at all levels.
  • Strong proficiency in using standard office equipment, computer software (i.e. MS Office) and social media.
  • Demonstrated proficiency in adapting to new technology and acquiring new technical skills.
  • Ability to contribute to, help foster, and sustain a diverse and inclusive working environment at Rollins.

Work Schedule:

The Executive Assistant & Facility Coordinator is a full-time, 12-month appointment, scheduled to work 7.5 hours/day, 37.5 hours per week. The schedule for this role is:

  • Monday - Friday, 8:30 am to 5:00 pm (with a 1 hour paid lunch)

*Flexible schedules or overtime may be required/ to meet business needs.

Work Environment:

  • Campus-based, front-facing position, working in an office environment. 
  • Work requires visual strain and the use of a computer.
