Job Summary:

The Rollins College Registrar team is seeking a Registrar Specialist to join their team! The Registrar Specialist will serve as the primary point of contact for the Office of the Registrar and provide administrative support to the College Registrar. The Registrar Specialist should enjoy working in a fast-paced, student-centered environment, be able to multi-task, and manage priorities efficiently.
Primary Responsibilities:
- Records Support
- Processes requests for official transcripts and enrollment and degree verifications.
- Processes Advanced Placement, International Baccalaureate, and Cambridge A-Levels score reports and transcripts.
- Assists with end of term processing. Processes incomplete contracts ensuring all incomplete grades are processed by the established deadline. Processes changes to academic standing. Communicates academic standing changes to the appropriate offices regarding changes in probation and President’s/Dean’s list.
- Process student status changes, including withdrawal, leave of absence, and readmission.
- Assist with building and maintaining the schedule of courses, including updating instructors, room assignments, course capacity management, and cancellations.
- Assist students during registration in person and via email; process Instructor Consent and Registration Help Request forms
- Administrative Support & Communications
- Provides administrative support to the College Registrar, assists with scheduling meetings and special ad hoc projects.
- Responsible for checking the departmental email inbox and responding or forwarding.
- Maintains departmental website.
- Financial and Operational Coordination
- Responsible for monitoring the office budget, including online budget queries, new year setup, logging, income tracking, reconciliation, P-card reconciliation, and dues/membership payments.
- Orders office and other supplies for the department.

Minimum Qualifications & Education: |
- Associate degree or equivalent combination of education and work experience.
- Minimum of one year of job-related experience.
|
Preferred Qualifications:
|
- Bachelor’s degree from an accredited university or college.
- Prior experience in higher education strongly preferred.
- Working knowledge of Banner and prior experience in a collegiate student centered department.
|
Knowledge, Skills, & Abilities:
|
- Proficient using Microsoft Word and Excel.
- Ability to function in a team-based, cross-functional environment.
- Knowledge and practice of organizational and time management skills.
- Ability to maintain and update files and records with a high degree of accuracy.
- Ability to work independently with minimal supervision.
- Ability to understand and interpret academic policies and procedures.
- Broad knowledge of higher education environment, departments, and procedures.

Work Schedule:
|
- The Registrar Specialist role is a full-time, 12-month appointment, scheduled to work 37.5 hours per week, 1,950 per year.
- Standard schedule is Monday through Friday, 8:30 AM – 5:00 PM. A 1-hour unpaid lunch break is provided daily.
- Alternative schedules or overtime may be required to meet the demands of the department.

- Campus-based, front-facing customer service position, and working in an office environment.
- Prolonged periods of sitting at a desk and visual strain working on a computer.
