The Rollins College Department of Religious & Spiritual Life is seeking a part-time Administrative Assistant to join their team! Reporting to the Dean of Religious Life, the Administrative Assistant is responsible for assisting with all religious and spiritual life work on campus. 

Primary Job Responsibilities:

  • Chapel Services
    • Assist with event planning/set-up for Chapel events (i.e. catering, invitations, attending Chapel events).
    • Maintain and print Sunday Service bulletin.
  • Event Management
    • Book Chapel for Sunday Chapel and Mass.
    • Book Chapel and other rooms on campus for Religious student events.
    • Book campus space, parking, catering, and other needs for community events that partner with the Knowles Chapel (i.e. Community Clergy Breakfast, Easter Sunday, Holy Week).
    • Assist with booking the chapel and planning for Vespers and keep track of events for Bach Music festival.

  • Finance
    • Review Chapel and Associate Jewish Director budget. Reallocate funds accordingly.
    • Work with Dean to set budget goals, Chapel needs, and source of funding.
    • Process Chapel Sunday collection offering - Submit to Bursars office and keep log of Sunday offering.
    • Collect and track other funding source to and from the Chapel such as AA monthly payments and gift donations to the Chapel.
    • Track on Chapel Endowment accounts and grants funding.
    • Process invoices, purchase orders, check requisitions, and contracts (e.g. Muslim Imam contract).

  • Sullivan Foundation Duties
    • Participate in meetings, take minutes, and distribute meeting notes.
    • Track and process Sullivan student gift donations (Award account for senior and operational gift account).
    • Partner with other campus leaders who interact with students daily to collect potential Sullivan student names for upcoming student.
    • Maintain log of all Sullivan students (past, current, potential, those who will be inducted, those who will remain on the watch list for the next semester)
    • Act as liaison between Dean and both committee members (all communications between committee, students, and Dean).
    • Assist with planning Sullivan student events (i.e. Al's Pancake flip, Senior dinner at President's Residence, Random words of kindness, etc.).

  • Other Administrative Duties
    • Responsible for mail correspondence (collect and distribute mail).
    • Answer the telephone, and other correspondence that comes to the Chapel.
    • Maintain the Dean of Religious Life's calendar.
    • Place orders for Chapel needs (printing paper, office supplies, facilities orders).
    • Work on Religious & Spiritual Life projects that the Dean is associated with on campus and within the community. This also includes work across states with other Religious Deans from other institutions/Religious affiliations.
    • Discuss and review programs for the entire Rollins Community (i.e. prayer hour with the Dean, etc.).
    • Perform other related duties as assigned.

Minimum Qualifications:


  • High school diploma and one-two years of equivalent work experience.
  • Intentionally open and thoughtful in working with those of faiths other than their own, those who claim no faith tradition, and those who are questioning.
  • Posses a high degree of interpersonal and communication skills, and a sensitivity to people of all religious, secular, and spiritual identities.
  • Passion for working directly with students of diverse cultural, socioeconomic, and religious backgrounds.
  • Ability to work collaboratively with stakeholders and have a sense of entrepreneurship.
  • Creative problem-solving techniques and a great sense of humor.
  • Strong self-motivated, multi-tasking, organization, and time management skills.
  • Strong written, verbal and interpersonal communication skills.
  • Demonstrated ability to inclusively and proactively develop and sustain positive, collaborative, and collegial relationships with faculty, staff, and students.

Preferred Qualifications:

  • Experience working in a college/university setting.
  • Experience working with college level students.

Additional Position 
Information Schedule:

The Religious & Spiritual Life Administrative Assistant is a campus-based position working in an office environment. This position will work approximately 20 hours per week, for a total of less than 1,000 hours per year. Scheduled hours per week will depend on operational needs. Evenings and weekends may be required as needed.

Rollins offers a competitive hourly pay rate based on background and work experience. There are no benefits associated with this appointment.
