Job Summary:
|
Rollins College seeks a proactive and detail orientated Coordinator to assist the Science Division which includes multiple departments and the Student Faculty Collaborative Research Program.
Division Support and Building Liaison
- Work with the division chair to organize and prioritize divisional activities.
- Work with division and department chairs to organize and manage building room usage and schedules.
- Interface with IT to mitigate building technology integration, updates, and repairs.
- Work with the Facilities Management team to manage building maintenance and upkeep.
- Support divisional faculty with administrative duties including planning and coordinating division events, room reservations, and maintaining records.
Departmental Support
- Support departmental chairs with the organization of departmental documents and maintain departmental records using Canvas or other software.
- Assist department chairs with scheduling and schedule updates.
- Coordinate and liaise with departmental student organizations to organize events.
- Coordinate, market, budget, room reservations, and implement events/meetings for faculty and department participants.
- Assist departmental hiring search committees with logistical support, including arranging candidate accommodation and travel, on-campus scheduling, and points of contact.
Programmatic Support
- Interface with the Office of Student Employment, the Office of the Provost, Human Resources, and the SFCS directors to establish the SFCS payroll.
- Process payroll information for students and faculty.
- Schedule room reservations and catering for the Fall poster session, summer presentations, and other presentations.

Minimum Qualifications & Education:
|
- High School education plus one year of additional business, technical, or college training or equivalent combination of education and experience.
- Minimum of two years job-related experience.
|
Preferred Qualifications:
|
- Experience in or knowledge of college environments.
- Computer fluency including Microsoft Office Suite, and the ability to maintain web pages.
|
Knowledge, Skills, & Abilities:
|
- Strong verbal and written communication skills for activities such as conducting phone calls, composing emails, maintaining, and updating files, reports, and other correspondence.
- Thorough knowledge of budget management including budget reconciliation, expense allocation, credit card reconciliation, process reimbursements, and travel expenses.
- Ability to understand and interpret complex oral and written instructions.
- Strong interpersonal skills and the ability to use tact and good judgment in resolving work problems and dealing with the public, students, and staff.
- Knowledge and practice of organizational and time management skills.
- Computational skills sufficient to order supplies, process invoices, etc.
- Ability to work independently and in a fast-paced environment with frequent interruptions.

Work Schedule:
|
The Coordinator role is a full-time 12-month appointment, scheduled to work 7.5 hours/day, 37.5 hours per week. The schedule for this position is Monday-Friday, 8:30 am - 5:00 pm.*
*Overtime may be required as needed.
|
Work Environment:
|
- Office environment, with front-facing position.
- Requires work on a computer which may lead to visual strain.
